Privacy policy
Privacy Policy
MOD Représentation Commerciale ("MOD", "we", "us") respects your privacy. This policy explains what personal information we collect through modrep.ca (the "Site"), why we collect it, how we protect it and what your rights are.
It is written to comply with Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), which applies in particular to our activities in Ontario.
1. Person in charge of the protection of personal information
The person responsible for the protection of personal information at MOD is:

MOD Représentation Commerciale

You can reach him with any question, access request or complaint about your personal information.
2. Information we collect
2.1 Information you provide
When you fill out the Site's contact form, we collect only what you enter:
- name;
- company name and business type;
- business territory;
- email address;
- phone number (optional);
- the content of your message.
This information is provided voluntarily. Optional fields may be left blank.
2.2 Information collected automatically
Like any website, the Site records certain technical data during your visit, through our hosting provider: IP address, browser and device type, pages viewed, date and time of the visit. These logs are used for security and to keep the Site running. They are not cross-referenced with contact form data.
2.3 Cookies and tracking technologies
The Site uses no advertising cookies, no audience analytics tool and no social-media pixel. We do not build browsing profiles.
The Site may store strictly functional preferences (for example, your display language) in your browser's memory. This data never leaves your device and is not transmitted to us.
If we ever add an analytics or tracking tool, this policy will be updated and your consent will be requested before it is activated, as required by law.
3. Why we collect this information
| Purpose | Information used | Basis |
|---|---|---|
| Respond to your request and schedule a conversation about your territory | Contact form information | Your consent, given by submitting the form |
| Prepare a proposal for sales representation services | Contact form information | Consent and legitimate interest tied to a prospective business relationship |
| Keep the Site secure and operational | Technical data (server logs) | Legitimate interest |
| Meet our legal obligations | As required | Legal obligation |
We do not use your information to send mass communications or newsletters unless you expressly consent to it later. We make no automated decisions about you.
4. Who we share your information with
We do not sell or rent your personal information. We share it only with the service providers needed to run the Site and handle your requests:
| Provider | Role | Processing location |
|---|---|---|
| Netlify, Inc. | Site hosting and receipt of contact form submissions | United States |
| Google LLC (Google Fonts) | Delivery of the typefaces shown on the Site; your IP address is sent to Google when the fonts load | United States |
| Our email provider and customer relationship management (CRM) tool | Processing and follow-up of requests received | Canada or United States, depending on the provider |
These providers only access the information needed for their mandate and are contractually bound to protect it. We may also disclose information where required by law or to protect our rights.
In the course of our mandates, we may connect a contractor or prospective customer with one of our clients (a dealer, distributor or manufacturer). We do so only with your agreement, within the business relationship you initiated.
5. Transfers outside Quebec and Canada
Some of our providers process data in the United States. As required by Quebec law, we have assessed the privacy factors related to these transfers and concluded that the information receives adequate protection, notably through contractual commitments and appropriate security measures. By submitting the contact form, you are informed of these transfers.
6. Retention
- Requests that did not lead to a business relationship: kept for a maximum of 24 months after the last exchange, then deleted.
- Requests that led to a business relationship: kept for the duration of the relationship, then for the period required by our legal, tax and contractual obligations (generally 7 years).
- Technical server logs: kept according to our host's policy, generally less than 30 days.
At the end of these periods, the information is securely destroyed or anonymized.
7. Security
We apply reasonable measures to protect your information against loss, theft, unauthorized access, disclosure or alteration: encrypted communications (HTTPS), access limited to those who need it, strong passwords and two-factor authentication on our tools, and the use of established providers.
No system is infallible. In the event of a confidentiality incident presenting a risk of serious injury, we will notify the Commission d'accès à l'information du Québec, the Office of the Privacy Commissioner of Canada where required, and the individuals concerned, as required by law.
8. Your rights
You may, at any time:
- Access the personal information we hold about you;
- Have corrected information that is inaccurate, incomplete or ambiguous;
- Withdraw your consent to the use or disclosure of your information;
- Request deletion of your information, subject to our legal obligations;
- Obtain a copy of the information you provided to us, in a structured, commonly used technological format (portability);
- File a complaint about our practices.
To exercise these rights, write to info@modrep.ca describing your request. We will respond within 30 days of receipt. We may ask you to confirm your identity before acting on it.
If you are not satisfied with our response, you may contact the Commission d'accès à l'information du Québec or, for residents of Ontario and other provinces, the Office of the Privacy Commissioner of Canada.
9. Minors
The Site is intended for businesses and professionals. We do not knowingly collect personal information from anyone under 14. If you believe a minor has provided us with information, contact us and we will delete it.
10. Links to other sites
The Site may contain links to third-party sites. We are not responsible for their privacy practices. We encourage you to read their own policies.
